The problem

Stall leads go cold in three days.

Three days at a stall means hundreds of conversations. Badges get scanned, cards get collected and notes get scribbled on the back of brochures. Everyone means to follow up.

But during the event nobody has time. The team is on the stall from opening to close, then at dinners and side meetings. The follow-up waits until next week.

By then, the visitor has met forty other companies. Your conversation has blurred into the rest, and the first supplier who wrote back clearly is the one they remember.

The leads aren't bad. They just go cold. A short, specific message within minutes of the conversation, while they're still at BIEC, changes that.

It also helps your team. Instead of a pile of cards on Thursday night, they get a short list each evening of who replied and who is worth a call, so the best conversations get attention while the event is still on.

What we set up before 17 Nov

From scan to follow-up, on its own.

  1. 01

    Scan or form

Your badge-scan export or a QR code at the stall that opens a 20-second form.

  2. 02

    Instant follow-up

Within 10 minutes, a WhatsApp message and an email in your words, mentioning what they asked about.

  3. 03

    CRM row

Name, company, interest and the team member they spoke to, saved in your CRM or a Google Sheet.

  4. 04

    Day 1, 3 and 7

Polite follow-ups with your brochure or a booking link. They stop as soon as the lead replies.

  5. 05

    Daily summary

Every evening the team gets one message: new leads, who replied and who to call first.

Five working days

Start by Monday 9 November.

  1. Day 1Short call. We agree the messages, the form fields and where leads should go.
  2. Days 2–3We build the flow, connect WhatsApp, email and your CRM or sheet.
  3. Day 4You test it from your own phone. We fix the wording until it sounds like you.
  4. Day 5Live. We print-check the QR code and brief the stall team in 15 minutes.

What we need from you

Four things, one call.

  • A WhatsApp Business number, or we help you set up the WhatsApp Business API
  • The email address follow-ups should come from
  • Your CRM login or a Google Sheet
  • Your brochure, price sheet or booking link

After the summit the flow keeps working. Point it at your website enquiries, or see how we do this for portal leads on IndiaMART lead automation.

FAQ

Questions exhibitors ask.

When do we need to start?

Setup takes 5 working days, and Bengaluru Tech Summit 2026 opens on Tuesday 17 November. To be live in time with a day to spare, start by Monday 9 November.

Does it work with the BTS badge scanner?

If your badge-scanning app can export leads or send them on, we connect it. If not, a QR code at your stall opening a short form works just as well, and visitors can scan it themselves.

Will the messages sound automated?

No. We write them with you, in your tone, and they mention what the visitor was interested in. Your team can add a one-line note per lead from their phone, and the follow-up uses it.

What if a lead replies?

The follow-up sequence stops for that person and the reply goes straight to the team member who met them, on WhatsApp or email. A person takes it from there.

Can we keep using it after BTS 2026?

Yes. It's yours. Most teams point the same flow at their website enquiries and other events afterwards.

We don't use a CRM. Is that a problem?

No. A Google Sheet works well for an event. Each lead becomes a row with a status, and your team can filter by who met whom. You can move it into a CRM later.

Who sends the messages, us or you?

Your business does. Messages come from your WhatsApp Business number and your email address, signed by your team. We stay in the background and watch that everything runs during the three days.

What does it cost?

It depends on how many channels and tools you connect. You get a fixed quote on a free 30-minute call, before any work starts.

Book a call before your stall goes live.

Free 30 minutes. Fixed quote after. Start by Monday 9 November.
