The situation

Around 900 enquiries a month arrive from Meta lead ads, Google, education portals, the website and walk-ins. Five counsellors call leads from a shared spreadsheet, often the same student twice, and many enquiries are not called for days. Application and fee reminders are sent manually, and onboarding details are emailed one by one before each batch.

Counsellors spend their day dialling cold or duplicate leads while serious students wait.

Late-night and weekend enquiries, when students actually browse, get no reply until the next working day.

Students who started an application or paid a deposit drop out with no structured follow-up.

Consent for contacting students, and parents of minors, is not recorded anywhere reliable.

Each step

1. Capture and de-duplicate. Leads from ads, portals, the website and walk-in tablets land in one CRM. Matches by phone or email are merged, keeping every source for reporting.

2. Consent and age check. The form records consent to be contacted by WhatsApp, email and phone. If the student is under 18, a parent's contact and consent are requested before any marketing messages.

3. Instant reply. Within a minute, the student gets the course brochure, batch dates and a link to book a counselling call, in English or Hindi. This works the same at midnight as at noon.

4. Counselling call booking. Students pick a slot with a counsellor for their course and centre. Reminders go out the day before and an hour before. Missed calls trigger one rebooking message.

5. Lead scoring and counsellor queue. Each lead is scored on course fit, stated start date, booked call and engagement with messages. Counsellors see a daily queue led by the warmest leads, with a short AI summary of what the student asked.

6. Nurture for not-yet-ready leads. Leads not ready now get a short sequence over a few weeks: alumni projects, a free webinar invite, batch start reminders. Any reply or click moves them back to a counsellor.

7. Application, document and fee reminders. Students who start an application get reminders for missing documents and fee deadlines. Failed payments or EMI declines alert a counsellor to offer help, rather than sending another automated nudge.

8. Onboarding. Once the fee is confirmed, the student gets a welcome pack, timetable, LMS login and a WhatsApp group invite for their batch. The centre manager sees the batch list fill up in real time.
