AI automation for logistics companies

AI can turn quote requests from emails into structured jobs, send customers delivery updates from your tracking data, read delivery notes and proof-of-delivery paperwork into your system and build a daily operations report. Planners and account managers still make the pricing and routing decisions.

Where the time goes

Logistics runs on email. Quote requests arrive in every format, with addresses, weights and dates scattered through the message, and someone has to pick them out and key them in before anyone can price the job.

After that come the 'where is my delivery?' calls, delivery notes and proof-of-delivery photos to match to jobs, and invoices that cannot go out until the paperwork is complete.

What we automate

5 automations for logistics companies

  1. Quote requests turned into jobs

The problem: Quote requests come in as emails and attachments in every format, and keying them in delays the quote.

What we build: The automation reads each request and pulls out collection and delivery points, dates, weights and special requirements into a draft job. Missing details are asked for straight away, and your team prices and sends the quote.

ExampleSay a customer emails a spreadsheet of twelve pallet collections. Within minutes each line is a draft job in your system, and the two without a postcode are queried with the customer.

  2. Proactive delivery updates

The problem: Customers phone and email asking where their delivery is, taking up your planners' time.

What we build: Customers get updates when a job is collected, out for delivery or delayed, using your own tracking data. Questions the automation cannot answer, like a damaged load, go to a person.

ExampleSay a driver is held up on the motorway. The receiving customer gets a revised time before they think to call.

  3. Proof of delivery and paperwork

The problem: Signed delivery notes and photos come back in different ways, and matching them to jobs holds up invoicing.

What we build: Delivery notes and photos are read, matched to the right job and filed. Jobs with missing or unclear paperwork are listed so they can be sorted before invoicing.

ExampleSay a driver sends twenty photos of signed notes at the end of the day. They are filed against the right jobs, and the one with an unreadable signature is flagged.

  4. Carrier and supplier invoice checks

The problem: Subcontractor and fuel invoices need checking against agreed rates and completed jobs, line by line.

What we build: Invoices are read and compared with the jobs and rates you have on record. Matches are prepared for approval, and differences are highlighted for someone to look into.

ExampleSay a subcontractor bills for a job at a higher rate than agreed. The invoice is held with the difference shown, rather than paid by mistake.

  5. Daily operations report

The problem: Managers piece together jobs completed, delays and paperwork outstanding from several systems.

What we build: A morning report shows yesterday's jobs, late deliveries, missing paperwork and jobs ready to invoice.

ExampleSay you want to know which customer had the most delays last month. It is in the monthly version of the same report.

FAQ

Questions logistics companies ask us

Does it work with our transport management system?

Many systems can be connected directly or through email and spreadsheet exports. We look at yours during the free audit.

Will it price jobs on its own?

Not unless you want it to. Most companies start with the automation preparing the job and a person setting the price.

What about customer and shipment data?

It stays in your existing tools. We agree up front what the automation can access and where data is stored.

What does it cost?

You get a fixed quote after a free 30-minute audit, once we know which process takes the most manual time.
