AI automation for accounting firms

AI can chase clients for missing records, read receipts, invoices and bank statements into your bookkeeping software, and keep track of filing deadlines across your client list. Accountants still review the numbers and give the advice, and how client financial data is handled is agreed with you before anything is built.

Where the time goes

For many practices, the hardest part of the job is getting the records in. Clients send receipts as photos, forward statements weeks late and reply to reminders with half of what was asked for, so someone spends hours chasing.

Once the paperwork arrives, there is still a lot of typing: supplier invoices into Xero, figures from PDFs into spreadsheets, and a deadline list that only one person really understands.

What we automate

5 automations for accounting firms

  1. Chasing clients for records

The problem: Year-end and VAT work stalls because clients have not sent their records, and chasing by email is slow and awkward.

What we build: Each client gets a clear list of what is needed with an upload link, and polite reminders until it arrives. Your team sees a live list of who is complete and who is still missing items.

ExampleSay twelve clients still owe bank statements for the quarter. Each gets a reminder naming the missing months, and the list shrinks as uploads come in.

  2. Receipt and invoice reading

The problem: Bookkeepers type supplier invoices and receipt photos into accounting software one at a time.

What we build: Documents sent by email or upload are read, and the supplier, date, amounts and VAT are prepared as draft entries in Xero or QuickBooks. Anything the AI is unsure about is flagged for a bookkeeper to check.

ExampleSay a client forwards forty fuel receipts at the end of the month. They become draft entries, and the three blurry ones are listed for someone to look at.

  3. Deadline tracking and reminders

The problem: Filing and payment deadlines across a whole client list live in someone's head or a spreadsheet that is easy to get wrong.

What we build: Deadlines are tracked per client from the data you already hold, and a weekly list shows what is due soon and what is blocked waiting on the client. Clients can get their own reminders too.

ExampleSay three VAT returns are due in ten days and one client has not sent anything. That client is at the top of Monday's list with a reminder already sent.

  4. Answers to common client questions

The problem: Clients email the same questions about deadlines, what counts as an expense and how to send documents.

What we build: An assistant answers general questions from guidance you have written and approved. Anything that needs professional advice on a client's own situation goes to an accountant.

ExampleSay a client asks how to send receipts. They get your instructions and the upload link at once; if they ask whether they can claim a new van, that goes to their accountant.

  5. New client onboarding

The problem: Bringing on a new client means collecting the same details, ID and authorisations over several emails.

What we build: New clients fill in one guided form, upload ID and documents, and get the engagement letter to sign. Your team reviews and approves before the client is set up in your systems.

ExampleSay a new limited company signs up. The director gets one link for company details, ID and the engagement letter, and your team gets a single summary to check.
