Then there are the forms. New patients fill in the same details on paper or in a PDF, someone types them into the practice system, and no-shows leave gaps in the diary that nobody had time to refill.

Booking and rescheduling requests
The problem: Patients who cannot get through on the phone often give up or book elsewhere, and reschedules take up reception time.
What we build: Patients can request, move or cancel an appointment by web chat, WhatsApp or text, and are offered free slots from your diary. Anything urgent or clinical is passed straight to your team with a clear note.
ExampleSay a patient messages at 7am to move their physio session. They pick a new time from the open slots and reception sees the change when they log in.
Reminders and waiting-list refills
The problem: No-shows leave empty slots, and calling the waiting list to fill them is rarely possible on a busy day.
What we build: Patients get reminders before their appointment with an easy way to confirm or cancel. When someone cancels, people on the waiting list are offered the slot in order until it is taken.
ExampleSay a 3pm appointment is cancelled that morning. The first patient on the waiting list gets a text offering it, and the diary updates when they accept.
Digital intake forms
The problem: New-patient forms are filled in on paper or PDF and then retyped into your practice system.
What we build: Patients complete a simple online form before their first visit. Answers are checked for missing fields and prepared for your system, and a staff member reviews anything that needs attention.
ExampleSay a new patient books for Thursday. On Tuesday they get a link to the form, and by the time they arrive their details are ready for the clinician to read.

Answers to routine questions
The problem: Staff answer the same questions about opening times, prices, parking and how to prepare for a treatment many times a day.
What we build: An assistant answers from information you have written and approved. It does not give medical advice, and any question about symptoms, results or treatment choices goes to your staff.
ExampleSay someone asks whether they can eat before a blood test. If you have approved an answer, they get it; if not, the question is passed to a nurse to reply.
