Automation by industry / Manufacturing & Logistics

AI automation for manufacturers and logistics companies

AI can read orders and quote requests from emails and PDFs into your ERP or transport system, chase suppliers on open purchase orders, send customers production and delivery updates, file inspection and proof-of-delivery paperwork, and build a daily operations report. Planners, buyers and quality staff still make the pricing, scheduling and sign-off decisions.

Where the time goes

Factories and transport businesses run on email. Orders and quote requests arrive as PDFs, spreadsheets and long messages, and someone has to pick out the part numbers, quantities, addresses and dates and key them into the ERP or transport system before anything moves.

After that come the follow-ups: suppliers who have not confirmed a delivery date, customers asking when their order will ship, inspection sheets and delivery notes to match to jobs, and invoices that cannot go out until the paperwork is complete.

What we automate

5 automations for manufacturing & logistics

  1. Orders and quote requests into your ERP

The problem: Customer orders and quote requests come in as emails and attachments in every format, and keying them in delays confirmations and quotes.

What we build: Each order or request is read and the customer, items, quantities, prices, dates and delivery points are prepared as a draft sales order or job in your ERP or transport system. Missing or unusual details are queried straight away, and your team checks, prices and confirms.

ExampleSay a customer emails a PDF purchase order with thirty lines. Within minutes it is a draft sales order in SAP Business One, and the two part numbers that do not match your catalogue are flagged for someone to check.

  2. Supplier and purchase-order follow-ups

The problem: Buyers spend hours emailing suppliers to confirm delivery dates, and late materials are often spotted only when production is waiting.

What we build: Open purchase orders are checked every day. Suppliers who have not confirmed or are close to their due date get a polite reminder, their replies are read and the expected date is updated, and the buyer sees a list of anything at risk.

ExampleSay a steel supplier has not confirmed an order due next week. They get a reminder on Monday, reply with a new date, and the buyer is told it now lands two days after the production slot.

  3. Production and delivery status updates

The problem: Customers phone and email asking when their order will be made or delivered, taking up planners' and drivers' time.

What we build: Customers get updates when an order goes into production, is ready to ship, is collected, is out for delivery or is delayed, using the status in your own systems. Questions it cannot answer, like a damaged load or a change to the order, go to a person.

ExampleSay a driver is held up on the motorway. The receiving customer gets a revised time before they think to call.

  4. Quality, inspection and delivery paperwork

The problem: Inspection sheets, certificates, signed delivery notes and photos come back on paper and by phone, and matching them to batches and jobs holds up dispatch and invoicing.

What we build: Documents and photos are read, matched to the right batch, order or job and filed. Anything missing, unreadable or outside your limits is listed for a quality lead or office manager to review; the automation does not pass or fail anything itself.

ExampleSay a driver sends twenty photos of signed notes at the end of the day. They are filed against the right jobs, and the one with an unreadable signature is flagged before the invoice run.

  5. Daily operations report

The problem: Managers piece together orders received, production progress, late deliveries and paperwork outstanding from several systems.

What we build: A morning report shows yesterday's orders, jobs completed, late or at-risk supplier deliveries, late customer deliveries, missing paperwork and orders ready to invoice.

ExampleSay you want to know which supplier caused the most delays last month. It is in the monthly version of the same report.

FAQ

Questions manufacturing & logistics ask us

Does it work with our ERP or transport system?

Many systems, including SAP Business One, Odoo and Tally, can be connected directly or through email and spreadsheet exports. We look at yours during the free audit.

Will it confirm orders or price jobs on its own?

Not unless you want it to. Most companies start with the automation preparing the order or job and a person checking and confirming it.

What about customer, supplier and shipment data?

It stays in your existing tools. We agree up front what the automation can access and where data is stored.

What does it cost?

You get a fixed quote after a free 30-minute audit, once we know which process takes the most manual time.
