Automation by industry / Recruitment & Staffing
AI automation for recruitment and staffing agencies
AI can compare CVs against a job's criteria and give recruiters a sorted shortlist with reasons, offer interview slots that work for both sides and keep candidates updated at every stage. It can also turn client calls into structured job briefs and chase timesheets for contractors, while recruiters and hiring managers make every hiring decision.

Where the time goes
Recruitment is a people business buried in admin. A single job can bring in hundreds of applications, each one needs at least a quick look, and the good candidates are often gone by the time someone gets to them.
Then there is the scheduling back and forth, the candidates chasing for updates, the job details scribbled during a client call and, for staffing firms, the weekly timesheet chase. Every hour of that is an hour not spent on the conversations that fill roles.
What we automate
5 automations for recruitment & staffing
CV screening against job criteria
The problem: Large application volumes mean recruiters skim CVs in seconds, and strong candidates get missed while weak ones get a call.
What we build: Each application is compared with the criteria you set for the role, such as required skills, experience and location, and given a short note on how it matches. Recruiters see a sorted shortlist with the reasons and make every decision on who to call or reject. Criteria are checked for fairness before use.
ExampleSay a developer role gets 300 applications over a weekend. On Monday the recruiter has a ranked list with two lines on each candidate, and decides who to phone first.
Interview scheduling
The problem: Lining up a candidate, a recruiter and two hiring managers takes a chain of emails, and every reschedule starts it again.
What we build: Once a candidate is put forward, they get a link with times that suit everyone's calendars. Confirmations, reminders and video links are sent automatically, and reschedules offer new times without anyone stepping in.
ExampleSay a client wants to see three candidates next week. Each candidate picks a slot from the hiring manager's free times, and all three interviews are confirmed by the end of the day.

Candidate updates at every stage
The problem: Candidates who hear nothing chase by phone or drop out, and recruiters do not have time to update everyone personally.
What we build: When a candidate moves stage in your ATS, they get a short, friendly update in your agency's tone. Common questions about the process are answered from your own information. Offers, rejections after interview and anything sensitive stay with the recruiter.
ExampleSay a candidate's CV has been sent to a client. They get a message the same day saying so and when to expect news, instead of calling the office on Thursday to ask.

Client job intake
The problem: Job details from a client call end up in notes and emails, and key points like salary range or must-have skills go missing before the job is advertised.
What we build: After a client call or email, the details are pulled into a structured job brief in your CRM, with gaps flagged, such as missing salary or start date. The recruiter checks it, and a draft advert is ready to edit.
ExampleSay a client describes a new role on a 20-minute call. Within the hour the recruiter has a job brief in Bullhorn, a note that the salary range is missing and a draft advert to adjust.
Timesheet and placement admin
The problem: Every week someone chases contractors for timesheets, chases clients to approve them and then rekeys hours for payroll and invoicing.
What we build: Contractors get reminders until their timesheet is in, clients get a simple approval request, and approved hours are collected into a sheet ready for payroll and invoicing. A Monday summary shows placements, hours and anything still outstanding.
ExampleSay you have 40 contractors out on placement. By Monday lunchtime the payroll sheet is filled in and the summary lists the two timesheets still waiting for client approval.

What about candidate data and GDPR?
Candidate data stays in the tools you already use. We agree up front what the automation can read and where data is stored, so it fits your existing privacy notices.
